In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, the Health Center Manager provides guidance and leadership to a diverse group of heath care professionals by fostering an open environment for teamwork and communication. Under the supervision of the Director of Health Center Operations (DHCO), the Health Center Manager is responsible for the delivery of coordinated and integrated quality health care services to all PPCWNY patients.


Essential Functions

Site Operation

  • In collaboration with the DHCO and the Director of Finance, participates in the development and monitoring of program budgets
  • In conjunction with the DHCO, assists in the development and achievement of affiliate and department-wide objectives and productivity standards
  • In collaboration with the Purchasing Manager, supervises and maintains accountable inventory for medical, lab, and pharmacy supplies; participates in pharmacy reviews conducted by a Pharmacy Consultant and intervenes with quality improvement activities as necessary
  • Participates in relevant committee and management meetings as requested by the DHCO and other members of Senior Leadership as appropriate
  • Actively manages patient flow and communication between front desk and health center staff to optimize patient experience
  • Reviews or assigns the review of medical charts for accuracy and completeness
  • Ensures the lab log, room checklist, and medical equipment checklist are completed in a timely manner
  • Takes a proactive approach to certify that facilities are professionally maintained, clean, fully functioning to create a professional business atmosphere
  • Supervises the handling of all financial forms and procedures in accordance with agency policy
  • Maintains log of on-call messages and ensures they are responded to in a timely manner
  • Provides direct patient care in a professional and customer service oriented manner, pending site needs, by participating in clinical activities within the specialty of the Health Center Manager
  • Maintains a detailed understanding and ensures compliance with all federal and state laws and regulations, Planned Parenthood Federation of America (PPFA) standards, OSHA, CLIA, Title X, DOH regulations, Board policies and all other applicable regulations
  • In collaboration with the Education/Outreach team, advocates and assists in coordination of services within community agencies and referral sources


Team Management

  • Provides guidance, leadership, and trains and evaluates all staff involved in providing direct patient services including, but not limited to, support staff, clinicians, nurses, students and volunteers
  • Develops and implements orientation and appropriate on-going staff training, including practice management system training, billing, front desk and back office training
  • Promotes strong, effective team dynamics
  • Provides routine and timely performance feedback and evaluation to staff
  • Ensures agency medical and counseling services are delivered in a confidential and timely manner to patients
  • Facilitates optimum health center operation standards in tandem with staff, by identifying problems, proposing solutions and solving issues
  • In collaboration with the Director of Compliance, Quality and Risk Management (DCQRM), participates and monitors staff development and involvement in quality improvement practices and activities
  • In collaboration with the DHCO and DCQRM, responds to patient complaints in a timely manner; analyzes causes for complaints and problem solves solutions



  • Provides projects, schedules, and reports in a timely manner
  • Assists in development with the Patient Services budget
  • Collaborates with the appropriate staff to meet both internal and external requirements:

o   Monthly, quarterly, annual reports as needed

o   Collaborates to plan the yearly budget, monitor monthly expenses and monitor staffing needs to ensure site requirements are met



  • Bachelor’s degree in health care, business, public administration or a related field preferred, or equivalent combination of education and experience
  • Minimum of 3 years of management experience
  • Medical licensure desired
  • Supervisory experience in a multi-provider clinic is essential
  • Demonstrated ability to orchestrate patient flow through nursing involvement and business efficiency
  • Excellent written and verbal communication skills are required
  • Exceptional organizational skills while working independently and handling multiple priorities are necessary
  • Ability to maintain confidentiality and ensure compliance with HIPAA regulations
  • Basic computer skills including Microsoft Office, email and use of Electronic Health Records strongly preferred
  • Experience in customer service desirable
  • Must be able to work a flexible schedule, and travel to multiple sites, as needed
  • Must have reliable transportation and a valid NYS driver’s license not in jeopardy of being revoked

Work Schedule

This is a full-time position; regular schedule will be Monday – Friday with rotating Saturdays
